We would like to inform you about our upcoming financial system modernisation, as we transition to SAP S/4HANA in September 2026. We look forward to the benefits this new system will bring to our operations and want to keep you informed about the changes you may experience during and after the transition.
The transition will require us to temporarily suspend certain financial system functions. We are committed to minimising any inconvenience and ensuring the process is as seamless as possible. To help you prepare, we have provided an overview of the changes you may experience during and after the transition. Please review this information and make any necessary updates.
- Please note that during the system migration from 12 September to 14 September 2026, there will be delays in the invoice creation process for services provided in China. However, these invoices will be processed shortly after the expiration of the freeze period.
- There will be a change in the format of the invoice templates (PDF): Please note that, effective from 15 September 2026, invoices and credit notes will have a refreshed look, but rest assured that all the standard details you need will continue to be available. To enable a smooth transition, please check out the template links provided below and familiarise yourself with the highlighted changes, as you may need to make small adjustments to your system or EDI set-up for the new format to work smoothly. Please note that, depending on local requirements, invoice layouts may look slightly different.

- Change in Invoice Type Descriptions: Please note that, effective 15 September 2026, customers receiving EDI invoices will notice updates to certain invoice type descriptions. We kindly request that you review the changes listed below and share this information with your Information Technology (IT) team, Integration team, or third-party vendor to ensure alignment and a smooth transition.

- Change in the alignment on the rate of exchange: Please note that, effective from 15 September 2026, invoices will apply a single rate of exchange (ROE) to determine amounts in the nominated billing currency, based on the date the first invoice for the service is created. The same ROE will apply to all subsequent or reissued invoices, ensuring consistent experience. Customers are requested to remit payment in the same currency and amount as stated on the corresponding invoice. For tax reporting, amounts will continue to be reflected in the local currency as specified. This enhancement is designed to provide you with a faster, more reliable, and seamless invoicing experience.
The ROE will be sourced from our independent provider, LSEG (World Market Refinitiv). For more information, you can also refer to the MyFinance guide. For Logistics & Services products, the ROE checking function is the only MyFinance function applicable. All other MyFinance functions are not available for L&S products so far. - Temporary system freeze and payment processing arrangement: Please note that, as part of our transition, there will be a system freeze from 12 September to 14 September 2026. Customers may experience delays in processing payments in the system. Subsequently, cash customers will face delays in releasing their freight during this period. To ensure a timely release of the Freight, Cargo, Gate Pass during the freezing period during this freeze period, cash customers are requested to make full payments at least three working days in advance and to share proof of payment and remittance details with the Maersk finance team, who will perform manual validation and confirmation for cargo or BL release.
